Apply for premises

The Faculty decides on changes to premises three times a year: 1 January, 1 May and 1 September. The Vice-Dean responsible for campus development approves applications for new premises or additions to existing premises. Facility Management within Operational support handles the matter and answers questions during the application process.

The Principal Investigator (PI) or activity lead completes the application in consultation with the department’s administrative manager or an equivalent manager at other units.

This happens after you apply

  1. You will receive an automatic confirmation email once your application is submitted.
  2. Facility Management within Operational Support will then process the application. Processing takes at least 15 days after the application period has closed.
  3. The Vice-Dean makes the final decision. You receive the decision by email.
  4. If necessary, the premises may be adapted before you move in. Any adaptations are planned in dialogue with you.

Terminate premises

The Faculty decides on changes to premises three times a year: 1 January, 1 May and 1 September. The Vice-Dean responsible for campus development approves applications to terminate premises. The notice period depends on when the application is submitted, but the minimum notice period is always two months.

The department’s administrative manager or an equivalent manager at other units must check and approve the application before it is submitted. Space Planning within Operational Support.

Guidelines for changes to premises

Changes to floor area — including terminations, additions to existing space, and changes to the funding source or cost centre for premises — are processed three times per year, at the end of each four-month period: 1 January, 1 May, and 1 September.

At the departments, the administrative managers are responsible for checking and approving applications for changes to premises. For other operations, this responsibility lies with the unit managers. When applying for changes to premises, the administrative manager (or equivalent manager) must always be involved.

Submission deadlines

Change to premises for the period 1 January–April: 1 November (the year before)
Change to premises for the period 2 May–August: 1 March
Change to premises for the period 3 September–December: 1 July

Minimum square metres per desk and person

To support a safe and suitable working environment, minimum space requirements apply per desk and person:

  • Offices next to laboratories: 3 m² per desk/person
  • Offices (other): 4.5 m² per desk/person

Please ensure that these requirements are considered when planning changes to premises.


Relocation support, furniture and equipment orders

Contact Facility Services within Operational Support to order additional furniture and equipment for premises belonging to the Faculty of Medicine. We can also assist with relocations.
